Discover Shadow AI: Risks, Rewards, and Responsible Use

Unsanctioned generative AI use is growing inside organizations. Here’s what Shadow AI is and what IT departments can do to support their workforce while keeping their businesses safe.

Introduction: The Double-Edged Sword of AI

Artificial Intelligence (AI) is a double-edged sword. On one hand, it holds immense transformative power, driving innovations that once seemed impossible. From self-driving cars to virtual assistants, AI is reshaping industries and revolutionizing how we live and work. Research shows about 49% of people have used generative AI, with over one-third using it daily, according to Salesforce1  However, AI carries inherent risks that we can’t ignore – and one of the most significant emerging concerns is the rise of “shadow AI.”

Shadow AI: An Unseen Force Hidden in Plain Sight

Shadow AI refers to the use of AI tools and applications by employees outside the purview of an IT department. It’s the AI equivalent of “shadow IT,” where individuals or teams bypass IT solutions managed or approved by corporate IT departments and adopt their own AI tools. While Shadow AI can drive innovation, and efficiency by allowing users to meet their needs quickly, it also introduces significant risks.  With AI tools increasingly accessible through user-friendly, cloud-based services, shadow AI is emerging as a hidden, uncontrolled frontier of AI usage within organizations.

Generative AI’s unsanctioned use in organizations is accelerating. The driving force behind it is employees’ desire for increased productivity, efficiency, and problem-solving capabilities. While Shadow AI can drive productivity,  innovation and efficiency by allowing users to quickly meet their needs, it also introduces significant risks (e.g., data privacy issues, non-compliance with regulatory standards, and potential exposure to cyber threats.).

THE RISKS:

  • Data Privacy Breaches: Many AI tools learn and improve by ingesting data from websites, content providers, or user inputs, which can expose sensitive corporate or customer information to third-party providers or malicious actors. Samsung banned its employees from using ChatGPT after a data leak in 2023.
  • Algorithmic Bias and Discrimination: AI models can perpetuate societal biases present in their training data, leading to discriminatory outcomes in areas like hiring, lending, and criminal justice.
  • Hallucinations: Hallucinations are inaccuracies in the chatbot output could cause individuals to make business decisions based off perfectly plausible but inaccurate outputs.
  • Unforeseen Security Vulnerabilities: AI systems, if not properly secured, can become entry points for cyber threats, putting organizational data and systems at risk.

  • Compliance Issues: Uncontrolled use of AI may violate industry regulations, such as GDPR or HIPAA, resulting in hefty fines and legal repercussions. For instance, a hospital employee generating patient reports with an unsanctioned AI assistant could inadvertently expose sensitive medical data, violating HIPAA privacy rules.

The incredibly rapid adoption of generative AI poses a significant challenge when employees want to use gen AI tools that have yet to be explicitly approved for corporate use (Google Spotlight article).

Building the Framework for Responsible AI

As the risks and rewards of shadow AI become increasingly apparent, it’s clear that a balanced approach is needed – one that harnesses AI’s potential while mitigating its risks.This is where the concept of responsible AI comes into play. But how should companies introduce responsible AI?

  • Education and Training: It is crucial to equip employees with AI literacy and responsible usage practices. Through training programs, organizations can foster an understanding of AI’s capabilities, limitations, and ethical implications, empowering employees to use these tools judiciously.
  • 70% of non-users would use generative AI more if they knew more about the technology (SalesForce).
  • AI Governance Policies: Clear guidelines and protocols must be established to outline approved AI tools, acceptable usage scenarios, and procedures for data protection and compliance. These policies should be living documents that evolve as AI capabilities and risks continue to shift.
  • Centralized AI Oversight: A dedicated team or committee should oversee AI implementation, monitor usage, and address any risks or issues that arise. This centralized oversight ensures a consistent approach to AI governance across the organization.

Crucially, responsible AI initiatives must be championed from the top down. CEOs, executives, and boards must lead by example, allocating resources and prioritizing ethical AI development and deployment. Their commitment will set the tone for the organization and drive cultural change.
